Healthcare AI and HIPAA: A Practical Checklist for Clinic Leaders
Review practical questions clinic leaders should ask about privacy, access controls, audit logs, contracts, and oversight when evaluating healthcare AI.

AI tools can support scheduling, patient communication, documentation, and administrative workflows, but healthcare organizations must assess how they handle protected health information (PHI). A vendor’s marketing statement alone is not a complete privacy or security review.
Map what information the tool receives
Identify whether the system processes names, contact details, appointment information, insurance data, recordings, transcripts, clinical details, or other sensitive information. Understand where data comes from, where it is stored, how long it is retained, whether it is shared with subprocessors, and whether it is used to train models.
Review contracts and responsibilities
When a vendor handles PHI on behalf of a covered entity or business associate, a Business Associate Agreement may be required. Have your privacy or legal team review permitted uses, incident reporting, subcontractors, data return or deletion, and each party’s obligations. A signed agreement does not by itself make an implementation compliant.
Examine access controls and auditability
Ask how the platform authenticates users, limits permissions, encrypts data, logs activity, monitors suspicious behavior, and handles employee access changes. Review security documentation and independent assessments in the context of your own risk analysis.
Keep human oversight in the workflow
Define which tasks automation can complete, when it must transfer a request to staff, and how staff verify important information. Review disclosures, consent requirements where applicable, escalation rules, and error correction.
Prepare for incidents and changes
Document who to contact if data is exposed, a system behaves unexpectedly, or a vendor changes its data practices. Review continuity, backup, recovery, and termination processes. Reassess when you add workflows or connect another system.
EzMedTech states that its healthcare platform is built around HIPAA-related safeguards and SOC 2 controls. Clinic leaders should review current documentation, contract terms, and intended configuration directly with the vendor. Frequently asked questions
Does saying “HIPAA compliant” guarantee compliance? No. Compliance depends on the specific use, safeguards, contracts, and responsibilities of both parties.
What is a Business Associate Agreement? It is a contract covering permitted handling of PHI and related safeguards when HIPAA rules require one.
What security questions should a clinic ask? Ask about access controls, encryption, audit logs, retention, subprocessors, incident response, assessments, and data deletion at termination.
