EHR Integration for Healthcare Automation: Questions to Ask Before You Buy

Use this checklist to evaluate EHR integration, workflow fit, security, testing, and support before adopting healthcare automation software.

Healthcare automation works best when it fits the systems a clinic already uses. If staff must copy information between an automation platform and the EHR, the new tool can create more work instead of less.

Start with the workflow, not the feature list

Write down the task you want to improve—such as scheduling, reminders, eligibility checks, patient communication, or follow-up—and identify where information lives. Define the systems that must exchange data, the people responsible for each step, and what success looks like.

Ask what “integration” actually means

A vendor may support an API, partner connection, file transfer, or workflow requiring manual steps. Ask whether it can read availability, create or update appointments, record communication outcomes, and route tasks—or only access limited data. Confirm supported EHR and practice-management versions.

Validate permissions and data quality

The system should access only the information needed for its workflow. Ask how permissions are configured, changes logged, missing or conflicting fields handled, duplicate records prevented, and errors corrected.

Plan testing and downtime

Test routine scenarios, edge cases, cancellations, reschedules, multiple providers, multiple locations, and failed connections. Define approvals, issue reporting, and a documented fallback process for when the integration is unavailable.

Evaluate support and ownership

Ask who maintains the connection when the EHR changes, how updates are communicated, and what support is included. Review implementation responsibilities, training, service-level commitments, costs for new locations, security documentation, and whether a Business Associate Agreement is relevant.

Frequently asked questions

What is an EHR integration? It is a connection that lets systems exchange information or trigger actions, reducing separate manual entry.

Does every vendor integration support the same features? No. Some only read data; others support scheduling, updates, task creation, or communication outcomes.

What happens if an integration stops working? The practice should have monitoring, escalation, vendor support expectations, and a fallback workflow for essential tasks.
